The numbers tell the story
According to ABS data, just over half of all trade-credit invoices in Australia are paid late, roughly 23 days late on average. That's a well-known pain point. But here's the thing most people miss: you can't get paid late on an invoice that hasn't been sent yet.
And for a lot of HVAC businesses, the quote itself is where the delay begins.
You finish a site visit at 3pm. You've got two more jobs that afternoon. By the time you get home, eat dinner, and sit down at the laptop, it's 9pm. Maybe you get the quote done that night. Maybe it's tomorrow. Maybe it's three days later and the customer's already called someone else.
Every day between the site visit and the quote is a day you're not getting paid. It's also a day the customer is cooling off, shopping around, or just forgetting about it.
The quote-to-cash gap is costing you more than you think
Say you do five site visits a week and it takes you an average of two days to get quotes out. That's ten days of dead time every week where money should be moving but isn't. Over a month, that's 40 days of quotes sitting in limbo.
Now multiply that by your average job value. If you're quoting $3,000 to $5,000 per job, you could have $15,000 to $25,000 in revenue that's just waiting to start. Not because the client hasn't paid, but because you haven't quoted yet.
That's not a payment problem. That's an admin problem.
Wages are going up. Dead time is getting more expensive.
Wage growth hit 3.4% year on year to the December 2025 quarter (ABS Wage Price Index). Every hour you or your team spend on non-billable admin is more expensive than it was last year. And it'll be more expensive again next year.
When you're spending your evenings writing quotes instead of resting, planning, or winning new work, you're paying for that time whether you realise it or not.
The fix isn't chasing payments faster. It's quoting faster.
The fastest way to improve your cash flow isn't a better payment reminder or a stricter terms policy. It's getting the quote out while you're still on site, or at least before you've started your next job.
If the quote goes out the same day as the site visit, the customer sees it while the conversation is still fresh. They're more likely to approve it quickly. You invoice sooner. You get paid sooner. The whole cycle tightens up.
That's what TRAiDMIN is built to do. You talk through the job from your ute, the app builds the quote with real supplier pricing, you check the numbers and margins, and send it. Under two minutes, while the job's still fresh in your head.
No laptop. No Sunday night catch-up sessions. No dead time between the site visit and the quote.
It adds up fast
Close the quote-to-cash gap by even one or two days per job and you'll feel it in your bank account within a month. You'll also stop losing jobs to competitors who simply got their quote in first.
The late payment problem is real. But fixing it starts a lot earlier than most people think.
